The Contract
There are certain Terms and Conditions; please go through them that govern the relationship between you (the client) and Adventure Himalayan Travels and Treks (Pvt. Ltd.), registered company number 86675/068/069.
By booking a trip with us, you acknowledge and accept these terms, including our cancellation policy and limitations of liability, to ensure a seamless and enjoyable trip.
Please note that both parties agree to these Terms and Conditions to resolve any legal or other disputes that may arise during the trips.
We are here, looking forward to providing a memorable experience for you.
Booking a trip
The trip is any product itinerary or activity such as trekking, tours, expeditions, or other adventure and tour programs bought by you from us.
The booking becomes accepted and definite only upon receipt of a confirmation invoice or email from our company that marks the point at which the contract between the company and the client is officially valid after the contract comes into force, where the company reserves the right to increase or decrease brochure prices.
Please kindly note that we will not be held liable for any warranties, collateral agreements, prior agreements, descriptions of services, or conditions other than those explicitly stated in our contract.
Deposit requirements
1. Nepal
To secure your Nepal trip, a 20% non-refundable deposit of the total cost has to be made to the company or its agent during booking. While the remaining amount has to be cleared before the trip departure, you can pay on arrival in Kathmandu.
Please keep in mind that the company’s tailored-made trips may require a higher deposit or full payment while you book the trip. If there are any changes to the deposit amount, you will receive an update at the time of booking.
2. India/Tibet/Bhutan/Singapore/Malaysia/Thailand trips:
To book for the mentioned countries, a non-refundable deposit of 20% is required along with the due airfares (if you would like us to arrange them) at the time of booking.
If you happen to book 20 days or less before departure, the full payment is due.
Payment Methods
You have two payment options to deposit for the booking: bank transfer or credit card (Visa or Mastercard).
Here is the information provided to follow regarding the booking form:
1. Credit card payment (MasterCard or Visa only)
To complete your booking with Adventure Himalayan Travels and Treks, please fill out the necessary details at https://www.adventurehimalayantravels.com with a matching signature on your passport and credit card and fax it at 977 1 4219412 or email the form to Adventure Himalayan Travels and Treks.
On behalf of Adventure Himalayan Travels and Treks Pvt. Ltd., the Himalayan Bank (Credit Card Division) charges you for the credit.
However, it is important to remember to not send your form details directly to the bank. Instead, make sure to include a copy of your passport or ID with your completed form.
(Note: A 4% surcharge is there when you pay via a credit card.)

Please be advised that we will not be held responsible for any delay or loss that occurred during the transfer process. If, for any reason, such as the use of a mediator bank or otherwise, the amount received by us is less than the amount sent, you are requested to pay the difference equivalent to the total cost of your arrival.
In some cases, the bank may forward the money under a different name. So, please be sure to email us the bank reference number or remittance slips after you initiate the transfer. Receiving this information will make it easier for us to verify the transaction.
Final payment/acceptance of booking/client details
1. Nepal Trips:
The final payment for trekking, tours, climbing, expeditions, or any other kind of trip in Nepal can be made upon landing in Nepal. The payment can be made by bank transfer, cash, or credit card (Visa or MasterCard).
A 4% surcharge is regulated on payments made by cards and applies to all payments of deposits, final balances, trip extensions, and miscellaneous purchases.
2. India/Tibet/Bhutan Trips:
Regarding the trips to Bhutan, India, and Tibet, the final payment has to be made 20 days before the trip begins.
The payment process is the same as that in Nepal. You have two options: pay via credit card, wire, or bank transfer.
Cancellation by the Client
When a client makes a cancellation request, it must be handwritten and acknowledged by the company. The date on which the company receives the cancellation request determines the applicable cancellation charge. The charges are a percentage of the total tour price.
- If you cancel 60 days or more before the departure date, you will lose your deposit.
- If the cancellation is between 60 days and 30 days before the departure, 25% of the cost of the service booked.
- If the cancellation is between 30 days and 20 days before the departure, 45% of the cost of the service booked.
- When you cancel less than 20 days before departure, the cancellation charge is 100% of the cost of the services booked.
Taking out cancellation insurance at the time of booking is strongly recommended. It will provide some ease for you in case you are required to make an urgent cancellation.
Please be aware that there is no refund for voluntarily canceling the trip once it has begun for any reason.
Additionally, there isn’t a refund for any accommodation, transport, sightseeing, meals, or services that are not utilized.
Cancellation by the company
The company reserves the right to cancel any trip that you have booked with us. We are rightful of:
- Canceling any booked trips, including a guaranteed trip, before departure due to reasons beyond our control, such as natural disasters, flight cancellations due to weather, strikes, wars, sickness, untoward occurrences, or government intervention.
If the cancellation is made by Adventure Himalayan Travel and Treks, we will refund the trip price. If you prefer, you are entitled to an alternative trip of the same value as well.
However, the company is not responsible for any incidental expenses or consequential losses that you may have incurred as a result of booking the trip that involve visas, vaccinations, non-refundable flights or rail, car parking fees, loss of earnings, or loss of enjoyment.
*Please note that changes of airline carrier, flight timetables, itineraries (as long as the departure and arrival dates remain the same), vessel substitutions, and modifications in cabin category or hotel accommodation (as long as they are of the same category) do not count as significant alternations.
Travel Insurance
Adequate and valid travel insurance that covers a wide range of situations, such as accidents, injuries, illness, and death medical expenses, as well as emergency repatriation and personal liability (that includes helicopter rescue and air ambulances where applicable), is important for all travelers.
It is also compulsory that your insurance cover trip cancellation, curtailment, loss of luggage, and personal effects.
Make sure to carry the proof of insurance with you all the time and be prepared to present it immediately if asked by the company employees or suppliers.
This is a serious requirement that you mustn’t ignore, as the company reserves the right to cancel or suspend your participation in a trip or certain activities due to your inability to provide proof of insurance when requested without any refunds.
Medical conditions and special requirements
When booking travel, it is mandatory to inform the company of any medical conditions, physically challenged situations, or special mental and physical conditions that may affect your fitness to travel in writing. Failure to do so may result in the company refusing to allow you on the trip.
Further, cancellation due to the condition that you failed to disclose to the company subjects you to 100% cancellation fees.
Additionally, it is the client's responsibility to verify age, mobility, pregnancy, or physical and mental conditions required for the travel before booking a trip. Unless the company has agreed to provide special facilities in writing,
The company will try its best to accommodate special requests, like dietary needs. However, it isn’t a guaranteed part of the contract, and the company isn’t liable if it is unable to provide it.
Medical facilities can vary quite a bit from country to country. It is important to do your research and make an informed decision, as the company doesn’t provide any guarantees or assurances about the quality of treatment.
Flight delays and changes in the itinerary
It is undeniable that adventures in mountainous regions are unpredictable due to their frequently changing weather. Bad weather can sometimes cause delays in domestic flights. But don’t you worry; Adventure Himalayan Travels and Treks has got your back. We will meet departing city accommodation (guest house) and food (lunch and breakfast) costs before your trip.
However, when the return flight is delayed, you will be responsible for all additional expenses that include food and accommodation costs. When requesting alternative arrangements, such as a helicopter flight, you are kindly informed that all extra costs should be covered by yourself.
Moreover, Adventure Himalayan Travels and Treks does not take any responsibility for costs incurred if you miss your international flight. However, we will do everything we can to make alternative arrangements.
Please note that sometimes changes to the itinerary have to be made due to unforeseen circumstances.
Trip amendment
Upon receiving the amendment request 20 days prior to the original trip departure day, Adventure Himalayan Travel and Treks would make necessary changes with a charge of USD 100 per person while booking.
If you wish to make amendments within 20 days of the departure, the costs may be higher depending on the company’s arrangements with other parties, such as guest houses, ground operators, or airlines.
Visa and passport
When you are traveling via Adventure Himalayan Travels and Trek, you must have a valid passport and the appropriate visa. To ensure a smooth trip, your passport must be valid for at least six months beyond the duration of your trip.
For Nepal, visas are available on arrival. The company makes the necessary visa arrangements for Tibet and Bhutan at your request. However, for India, you will have to acquire a visa from your own home country.
Do make sure to obtain the correct visas for the countries you are traveling to. Adventure Himalayan Travels and Treks can’t be held liable if you are denied entry to a destination due to insufficient visa documentation. You have to ensure you have the right paperwork to enter each country on your itinerary.
Injuries and evacuation
Please note that we will not be held accountable for any injuries, emotional conditions, health, or other aspects that you may experience during the trip.
Therefore, we advise all our clients to purchase adequate insurance packages that include coverage for medical emergencies and evacuation by helicopter that we don’t assist with.
Services missed or unused
There isn’t any provision of discounts or return of money for missed or unused services during the trek, even in the case of involuntary termination or departure that includes sickness, death of a family member, premature departure, or late arrival. We are extremely apologetic for the inconvenience caused.
Updating of terms and conditions
The company retains the right to modify and revise these terms and conditions at any time. You are in charge of yourself to keep up to date with any momentary alternations.
